3. Booking and Payment Terms

3.1 Booking Process

When you make a booking through our website or directly with our travel consultants, you enter into a binding contract with Medium Scope and, where applicable, with third-party travel suppliers. By making a booking, you confirm that:

  • You have the legal capacity to enter into a contract.
  • You are at least 18 years old or have obtained consent from a parent or guardian.
  • You have the authority to make the booking on behalf of all persons named in the booking.
  • You have read and agreed to these Terms and Conditions and any other terms specific to your booking.

3.2 Payment

Payment terms for bookings are as follows:

  • A non-refundable deposit (typically 20-30% of the total price) is required at the time of booking to secure your reservation.
  • The full balance is due no later than 60 days before the departure date, unless otherwise specified in your booking confirmation.
  • For bookings made within 60 days of departure, full payment is required at the time of booking.
  • We accept payment via major credit cards, bank transfers, and other payment methods as specified during the booking process.
  • All prices are quoted in the currency specified in your booking confirmation.

If you fail to make any payment by the due date, we reserve the right to treat your booking as canceled and apply the cancellation charges outlined in our Refund Policy.

3.3 Price Accuracy and Changes

While we strive to ensure price accuracy, we reserve the right to correct pricing errors. If a pricing error occurs, we will notify you and provide the option to accept the corrected price or cancel your booking with a full refund.

Prices may change due to factors beyond our control, such as:

  • Currency fluctuations
  • Government action
  • Changes in transportation costs (including fuel costs)
  • Changes in taxes or fees imposed by third parties

If the price increase exceeds 8% of your total package price, you have the right to cancel and receive a full refund.

3.4 Booking Confirmation

A contract between you and Medium Scope is formed when we issue a booking confirmation. This confirmation will be sent to the email address provided during the booking process. Please check all details carefully and notify us immediately of any inaccuracies.

4. Travel Documentation and Requirements

You are responsible for ensuring that you and all members of your party have valid travel documents, including:

  • Valid passport with sufficient validity period (typically at least 6 months beyond your return date)
  • Necessary visas for all countries in your itinerary
  • Any required health certificates or vaccination documentation
  • Travel insurance documentation

We will provide general information about travel document requirements based on the citizenship you provide to us, but it is your responsibility to verify this information with the relevant embassies, consulates, or government agencies.

4.2 Health Requirements

You are responsible for ensuring that you are aware of and comply with any health requirements or recommendations for your destination(s). This includes:

  • Required or recommended vaccinations
  • Medication restrictions
  • Health advisories issued by relevant authorities

We strongly recommend consulting with a travel health professional well in advance of your trip.

4.3 Travel Insurance

Travel insurance is strongly recommended for all bookings. Appropriate travel insurance should cover:

  • Trip cancellation and interruption
  • Medical expenses and emergency evacuation
  • Baggage loss or delay
  • Personal liability

We offer travel insurance options at the time of booking. If you choose not to purchase travel insurance through us, you acknowledge that you understand the risks and will not hold Medium Scope responsible for any expenses that could have been covered by travel insurance.

5. Changes and Cancellations

5.1 Changes by You

If you wish to change any aspect of your booking after confirmation, please contact us as soon as possible. While we will endeavor to assist, we cannot guarantee that changes will be possible. If changes can be accommodated, the following conditions apply:

  • An administration fee of £50 per person may be charged.
  • You will be responsible for any additional costs imposed by suppliers to implement the changes.
  • Name changes may be treated as cancellations and rebookings by certain suppliers, particularly airlines.
  • Changes requested within 60 days of departure may be treated as a cancellation and rebooking.

5.2 Changes by Us

We reserve the right to make changes to your booking when necessary. Changes are categorized as follows:

  • Minor Changes: Changes that do not significantly affect your trip (e.g., change in accommodation of similar or higher standard, slight modification to itinerary). We will inform you of minor changes but are not obligated to compensate you.
  • Significant Changes: Changes that materially affect your trip (e.g., change in destination, major alteration to itinerary, substantial downgrade in accommodation). If we make a significant change, we will notify you as soon as possible and offer the following options:
    • Accept the proposed changes
    • Accept an alternative travel arrangement of comparable quality and price (if available)
    • Cancel your booking and receive a full refund

5.3 Cancellations by You

If you need to cancel your booking, you must notify us in writing (email or mail). Cancellation takes effect from the date we receive your written notification. Please refer to our Refund Policy for detailed information on cancellation charges.

5.4 Cancellations by Us

We reserve the right to cancel your booking in the following circumstances:

  • Failure to receive payment by the due date
  • Force majeure events (as defined in Section 6)
  • Insufficient participants for group tours (we will notify you at least 30 days before departure)
  • For any other reason beyond our control that makes it impossible to provide the services as promised

If we cancel your booking (except due to your failure to pay), we will offer you the choice of an alternative travel arrangement of comparable quality and price (if available) or a full refund.

6. Force Majeure

We will not be liable for any failure or delay in performing our obligations under these Terms and Conditions that is due to events beyond our reasonable control, including but not limited to:

  • Acts of God (such as natural disasters, floods, earthquakes, storms, or other natural events)
  • War, civil unrest, terrorism, or threats of terrorism
  • Government actions or restrictions
  • Public health emergencies, pandemics, or epidemics
  • Industrial disputes or strikes
  • Failure of public utilities or transportation facilities

In the event of force majeure:

  • We may cancel, delay, or modify your booking.
  • We will use reasonable efforts to provide alternative arrangements or issue credits for future travel.
  • We may retain reasonable costs incurred and a service fee for work performed.
  • We are not obligated to provide refunds for services not provided due to force majeure.

We strongly recommend purchasing comprehensive travel insurance that includes coverage for "cancel for any reason" and force majeure events.

7. Limitation of Liability

7.1 Our Responsibility

We are responsible for the proper selection of suppliers and for ensuring that the services described in your booking confirmation are provided with reasonable skill and care. However:

  • We act as an agent for third-party travel suppliers for many aspects of your booking.
  • We cannot be held responsible for the actions or omissions of third-party suppliers or for matters that are outside our reasonable control.
  • We do not accept liability for any loss, damage, or expenses resulting from force majeure events (as defined in Section 6).

7.2 Limitations of Compensation

Our liability is limited as follows:

  • For damages arising from breach of contract, our liability shall not exceed the cost of the affected booking.
  • We are not liable for any indirect, special, or consequential damages.
  • For damages involving death or personal injury caused by our negligence, no limitation applies.
  • Our liability is limited or excluded to the maximum extent permitted by applicable international conventions (including the Warsaw Convention, the Athens Convention, the Berne Convention, and the Paris Convention).

7.3 Third-Party Services

Your booking may include services provided by third parties. While we select these providers with reasonable care:

  • These providers have their own terms and conditions which apply to your booking.
  • We are not responsible for the provision of these services, except where we have been negligent in their selection.
  • Any complaints or claims related to third-party services should be directed to the relevant provider, though we will provide reasonable assistance in resolving disputes.

While we make reasonable efforts to ensure the accuracy of information on our website:

  • We do not guarantee that the website will be error-free, uninterrupted, or free from viruses.
  • We are not liable for any inaccuracies or omissions in the information provided.
  • Descriptions of accommodations, facilities, and services are based on information provided by suppliers and are subject to change.

8. Your Responsibilities

8.1 Behavior

You are responsible for your behavior during your trip. We expect all clients to conduct themselves in an orderly and acceptable manner, with respect for local customs, laws, and fellow travelers. If, in our opinion or in the opinion of any travel supplier, your behavior:

  • Causes danger, distress, or annoyance to others
  • Causes or risks damage to property
  • Interferes with the enjoyment of others
  • Violates local laws or customs

We or the travel supplier may terminate your travel arrangements without refund, and you may be required to pay for any loss or damage caused and to indemnify us against any claims made against us as a result of your actions.

8.2 Special Requests and Medical Conditions

You must inform us at the time of booking of any special requests (such as dietary requirements, room preferences, or accessibility needs) and any medical conditions that might affect your travel arrangements. We will pass on reasonable requests to our suppliers but cannot guarantee they will be accommodated. Failure to disclose relevant information may result in us being unable to properly fulfill our obligations to you.

You are responsible for providing accurate and complete information:

  • All personal details (names, dates of birth, etc.) must exactly match those on your travel documents.
  • Contact information must be current and accessible during your travel.
